Connecting your accounting
GigGuru can push the gigs you have worked to your accounting software. There you get draft invoices, one per client, and depending on the package also your hours and mileage. Sending is up to you: GigGuru only creates drafts, so you can always check them before anything goes out.
Which packages
Section titled “Which packages”| Moneybird | Rompslomp | e-Boekhouden | |
|---|---|---|---|
| Draft invoices per client | Yes | Yes | Yes |
| Worked hours (time entries) | Yes | Yes | No — e-Boekhouden has no time tracking |
| Travel | Travel time as a non-billable time entry | Kilometres as a ride | Only as an invoice line |
| How to connect | Sign in with Moneybird, or an API token | Sign in with Rompslomp, or an API token | API token |
Each package has its own page on connecting and what exactly happens: Moneybird, Rompslomp and e-Boekhouden.
Which gigs are pushed
Section titled “Which gigs are pushed”A gig is included in a sync when all four of these are true:
- it is confirmed (a request you have not accepted yet is not included);
- it has ended — its end time is in the past;
- it has a rate: an hourly rate or a day rate;
- it has not been excluded for predating your connection. See Only new jobs are invoiced.
Anything pushed once is not pushed again, so a second sync does not create duplicate invoices.
What goes on the invoice
Section titled “What goes on the invoice”- Hourly: one line per gig, with the hours worked as the quantity and your hourly rate as the price.
- Day rate: one line per gig with quantity 1 and the total amount. The breakdown is in the description, for example Dagtarief (10 u) + 2 u meeruren — invoice lines are written in Dutch. See Hourly and day rates.
- Travel: a separate line with the kilometres there and back times your mileage rate, when the client pays travel and the distance is known. See Travel costs and distance.
Linking clients to contacts
Section titled “Linking clients to contacts”An invoice has to belong to a contact in your accounting software, so you link each client in GigGuru to its contact once.
- During onboarding you can import contacts from your accounting software straight in as clients. Existing clients with the same name as a contact are linked automatically.
- After that, on the web, it lives under Settings → Accounting → Employer mapping.
For a gig you created by hand without picking a client, GigGuru looks the contact up by the client name. A gig without a link gets no invoice, and the sync says so.
Manual or automatic
Section titled “Manual or automatic”-
On the web, go to Settings → Accounting and pick your package.
-
Under Sync settings, switch on what you want: Sync worked hours, Create draft invoices and, depending on the package, travel time or kilometres. Everything is off right after connecting.
-
Pick a day under Sync day. GigGuru then syncs by itself on that day every week. Set to Disabled, it only syncs when you press Sync now.
After an automatic sync you get a notification when draft invoices are waiting. Errors — an address that cannot be found, a client without a contact — do not come as push notifications; they are listed with the result on the Accounting page.
GigGuru works out what you earn and gets it ready in your accounting software. It does not file tax returns or work out what you owe.
