Connection problems

Check first: each connection (web: Settings → Connectors; iPhone: Settings → Connected systems) shows when it last synced and whether that worked. Sync now tries again straight away.

If it says Error during last sync, or connecting fails:

  • It isn’t the calendar link. A link to a login page or an ordinary web page doesn’t work. You need the link the system gives under something like subscribe to calendar, iCal or ICS. For Google it is the secret address, not the public one; see Google Calendar.
  • The link has been replaced. Many systems create a new link when you reset your key or the planner switches the export on again, and the old one then stops working. A link can’t be edited: delete the connection (without ticking Also delete all linked jobs) and add the new link to the same client. GigGuru then merges the gigs that were already in your agenda with the new ones.
  • Your client’s system is down. The next round will then work by itself. GigGuru tries again about every hour.
  • A gig you entered by hand and the same gig from the feed. GigGuru merges them by itself, but only when they are attached to the same client and you had entered exactly one gig by hand that day for that client. Attach the connection to the client (here’s how) and choose Sync now. If you had entered two gigs by hand that day, GigGuru won’t guess which is which: delete the duplicate yourself.
  • The same gig in two feeds, for example your client’s schedule and a calendar you also put it in yourself. GigGuru doesn’t merge those. It does warn you that they overlap. Remove it from one of the two sources, or switch the private calendar to Add as blocked days.
  • Your GigGuru export is connected as a source. If you accidentally added your own GigGuru calendar link (from Calendar export) as a feed too, everything comes in twice. Delete that connection.

A gig disappears from GigGuru when it was removed from your client’s feed and had not started yet. Usually it really was cancelled or moved; check with the planner.

A gig stays when:

  • it has already started or is in the past (it counts towards your earnings);
  • it has already been sent to your accounting;
  • the feed came back completely empty.

If your client’s system leaves a cancelled shift in the feed (some systems only mark it as cancelled), it also stays in GigGuru as an ordinary gig. A gig you delete yourself comes back on the next sync for as long as it is in the feed. Ask the planner to take it off your schedule.

Most feeds don’t include the client’s name. Attach the connection to a client; that applies straight away to the gigs already imported too. See Attaching a connection to a client.

Feeds don’t contain rates. The rate comes from the client the connection is attached to, and otherwise from your default rate. See Hourly and day rates.

The travel distance couldn’t be calculated

Section titled “The travel distance couldn’t be calculated”

That is almost always about the address: the location in the feed is a venue name without a street, or your home address is missing. See Travel expenses and distance.

On the free plan you can connect up to two calendars. On the web you can then start a free Pro trial month once, with no payment details; if it ends without you taking Pro, GigGuru keeps your two busiest connections and deletes the rest. The gigs from a deleted connection stay in your agenda. See Subscription.
